We would like to update you on the rollout and support plan as we move to our new Campus Solutions student records system over the coming weeks.
Work is continuing on the transfer of student records from Saturn into Campus Solutions. The records of our current students have been transferred over for use in the new system and we are currently completing some data checks and updates to the records. We want to reassure you that you will continue to be able to view current student information in Saturn Web until at least the end of February.
In addition, we are working through the various linked IT systems that take data from Saturn, to change the data source to Campus Solutions. This work is phased and will continue until the end of February.
The Faculty Pro Vice-Chancellors and the Operations Managers in each School and Department have reviewed and checked the lists of colleagues in their areas that require access to the new system to complete key tasks in their roles. The user accounts for these colleagues are now being created.
We are expecting to give colleagues in Student Services, Finance and External Relations – those that will be updating core student records – access to Campus Solutions from Friday 21 December. Many of these colleagues have taken part in classroom training sessions for Campus Solutions and these will continue into the new year. They will also have access to a range of online help guides to support them.
During the week commencing 14 January, we will email all other colleagues that will be given access to Campus Solutions to confirm their access and highlight what they will be able do in the system. These colleagues will be able to start using Campus Solutions from week commencing 21 January, when they will receive an email with a link to the new system and details of a range of support options available to them.
Colleagues using Campus Solutions will be fully supported through:
- Expert users in each School and Faculty, who will be able to offer expert on-hand advice and guidance on how to use the system
- Support coordinators in each School, Faculty and Department will be able to support colleagues should they experience any issues with access or data using Campus Solutions
- Drop-in sessions and webinars for each School and Faculty will be available from the end of January to February
- Online support materials, consisting of step-by-step user guide documents and video guides
A small number of new students will be joining the University in January and these students will be the first to complete their online registration in Campus Solutions. Our existing students will be given access to the student-facing part of Campus Solutions, the MyNottingham website, during the week commencing 21 January. Once logged in, they will be able to check and update their personal details and submit some online support requests.
The finance part of Campus Solutions will go live later, towards the beginning of the 2019/20 University financial year. The cutover period for this part of the system will commence in April.
Thank you for your continued support and understanding as we work through the transition period for our student records system.
If you have any questions please do not hesitate to email campussolutions@nottingham.ac.uk.

The Aleph library system is being updated to start taking data from the new Campus Solutions student records system. As part of this work, the PIN numbers that students use in their library accounts will be reset to the last 4 digits of their Library Card Number on or after Tuesday 18 December.
The Library Card Number (shown on the front of their student ID card) and the PIN number are used for library self-service machines, making room bookings and accessing online forms.
Students will be required to change their library account PIN number on or after Tuesday 18 December to ensure their library accounts remain secure.
This change only affects student accounts – all other users remain unaffected.

As highlighted in the Campus Solutions implementation update last week, we will need to make an adjustment to student ID numbers for existing UK students so their records can be added into Campus Solutions.
ID numbers for students in the UK are generally seven-digits in length but ID numbers in Campus Solutions are eight-digits long.
New students that will be commencing their studies in January 2019 will be given new eight-digit Campus Solutions ID numbers and these will be displayed on their student ID cards.
The majority of UK students that commenced their studies before 2019 will be given a ‘1’ in front of their student ID number from January 2019. Their University student ID cards will display their old ID number and will continue to work as normal. These students will not be given new ID cards, so please bear this in mind if you work with student ID numbers.
The students where this rule does not apply are detailed in the table below.

Messages will be issued to students to provide them with the details of this change. Exam Invigilators will brief students about the use of ID numbers on exam papers in January 2019.
If students require a new ID card they can request a new one by emailing their name and student ID number to universitycard@nottingham.ac.uk.
Thank you for your support as we make these changes to student ID numbers across the University.
Please do not hesitate to email campussolutions@nottingham.ac.uk if you have any questions.
Updated 13 Dec 2018: Dates changed for when intercampus mobility students from China/Malaysia that started in the UK from September 2018 need to start using student ID cards from China/Malaysia.

Details on the new AXA Voluntary Private Medical Insurance Scheme have now been published on the Employee Hub.
This is a company scheme with payments taken direct from salary: this approach allows the University to secure discounted rates for members of staff who wish to take cover. Partner and family cover is also available.
The first application window will run during December 2018 with the cover commencing on Tuesday 1 January 2019. A further application window is likely to launch early in 2019.
All the details are available through the Employee Hub. Key points to be aware of include:
- All plans are based on Full Medical Underwriting (FMU). This means that medical history, including any pre-existing conditions, is declared in advance. FMU cover offers additional assurance in relation to future claims/cover
- Monthly premiums will be deducted direct from salary
- Cover will cease if an employee leaves the University
For more information, please visit the Employee Hub: www.uonemployeehub.com.

The University of Nottingham’s Vision for Technical Talent launched on Tuesday 4 December 2018 — the event included a celebration of technical talent across our University and the launch of our new strategy to ensure increased profile, recognition and opportunity for technical colleagues.
We were delighted to have so many technicians together in the room during the launch event. It was a real pleasure to have the opportunity to showcase and share the diverse activities and wider impact of technical staff across our University. The contribution of technical colleagues to research and teaching here in Nottingham and beyond was clear to see.

James Key, Technical Director – Formula One, addressing attendees at the launch of ‘Our Vision for Technical Talent’
Here’s a recap of key highlights of the event:
Launching our Vision for Technical Talent
The President and Vice-Chancellor Professor Shearer West launched the new strategy entitled ‘Our Vision for Technical Talent’ and presented some key areas of progress. These included:
- The extension of the Technical Services job family to levels 6 and 7, in line with the University of Nottingham’s Research & Teaching (R&T) and Administrative, Professional & Managerial (APM) job families and a number of other higher education institutions. Technical Services Level 6 descriptors (specialist and managerial routes) will be launched on August 1st 2019. Technical Services Level 7 descriptors are being developed.
- February 2019 will see the launch of a new Technical Skills and Conference Fund dedicated to ensuring technical colleagues can apply for funding to ensure they can continue to develop their technical skills and expertise.
- The development of a new and refreshed University of Nottingham Technician Network, led by Joanne Green (School of Chemistry) and colleagues across the University who have put together a full calendar of events for 2019 including courses, development opportunities and open afternoons at various facilities, laboratories and workshops across our University.
- The creation of placement opportunities for technical colleagues. Technicians will be able to apply to undertake technical placements of up to a week to learn new techniques and methods at universities and research institutes across the UK via a successful EPSRC Inclusion Matters award and through support from the Midlands Innovation consortium. Details of these schemes, and how to apply will be released in early 2019.
Technicians on film
A short film made in celebration of technical colleagues was previewed at the event and can be found here: https://www.nottingham.ac.uk/technicians/home.aspx.

We were delighted to welcome James Key, Formula One Technical Director to the event. James was one of the youngest Technical Directors of a Formula One team, at the age of 33 years and is a University of Nottingham Alumnus (Mechanical Engineering, 1996). James has spent his working life developing innovative technical solutions for a number of Formula One teams including Lotus, Jordan, Sauber, Force India and Scuderia Toro Rosso. James gave a fascinating talk on the roles of technicians in motor sport and higher education and drew on personal experiences to convey the impact of technical skills and expertise.
Science Council Employer Champion Award
The University of Nottingham was formally presented with an Employer Champion Award in recognition of our support for the continued professional development and professional registration of technical staff. This was presented to the Vice-Chancellor by Professor Patrick Kniveton, Trustee of the Science Council.
Showcasing our Technical Talent
Speeches and presentations were followed by a poster session where technical colleagues from across the University presented aspects of their roles and activities to internal and external guests. This offered an opportunity for networking and festive refreshments.
