Rollout plan for Campus Solutions

We would like to update you on the rollout and support plan as we move to our new Campus Solutions student records system over the coming weeks.

Work is continuing on the transfer of student records from Saturn into Campus Solutions. The records of our current students have been transferred over for use in the new system and we are currently completing some data checks and updates to the records. We want to reassure you that you will continue to be able to view current student information in Saturn Web until at least the end of February.

In addition, we are working through the various linked IT systems that take data from Saturn, to change the data source to Campus Solutions. This work is phased and will continue until the end of February.

The Faculty Pro Vice-Chancellors and the Operations Managers in each School and Department have reviewed and checked the lists of colleagues in their areas that require access to the new system to complete key tasks in their roles. The user accounts for these colleagues are now being created.

We are expecting to give colleagues in Student Services, Finance and External Relations – those that will be updating core student records – access to Campus Solutions from Friday 21 December. Many of these colleagues have taken part in classroom training sessions for Campus Solutions and these will continue into the new year. They will also have access to a range of online help guides to support them.

During the week commencing 14 January, we will email all other colleagues that will be given access to Campus Solutions to confirm their access and highlight what they will be able do in the system. These colleagues will be able to start using Campus Solutions from week commencing 21 January, when they will receive an email with a link to the new system and details of a range of support options available to them.

Colleagues using Campus Solutions will be fully supported through:

  • Expert users in each School and Faculty, who will be able to offer expert on-hand advice and guidance on how to use the system
  • Support coordinators in each School, Faculty and Department will be able to support colleagues should they experience any issues with access or data using Campus Solutions
  • Drop-in sessions and webinars for each School and Faculty will be available from the end of January to February
  • Online support materials, consisting of step-by-step user guide documents and video guides

A small number of new students will be joining the University in January and these students will be the first to complete their online registration in Campus Solutions. Our existing students will be given access to the student-facing part of Campus Solutions, the MyNottingham website, during the week commencing 21 January. Once logged in, they will be able to check and update their personal details and submit some online support requests.

The finance part of Campus Solutions will go live later, towards the beginning of the 2019/20 University financial year. The cutover period for this part of the system will commence in April.
