Preparing for UniCore cutover period

We are preparing for the rollout of the university’s new HR, Finance and Procurement system (UniCore) which will take place during mid-May 2024.

This system plays a vital role in helping us to simplify and standardise our many varied processes across the university.

It enables us to offer our staff and suppliers an improved experience of using HR, Finance and Procurement services. Many of our current IT systems will be replaced with UniCore; a single, modern, reliable and secure system.

So that UniCore can be rolled out, from mid-April to mid-May 2024 we will need to temporarily pause some processes and stop using the systems that we will be replacing. This is known as the ‘cutover period’ and is a common part of any system replacement.

Through working closely with our implementation partners and our HR, Finance, Procurement, DTS and Research and Innovation teams, we have developed a detailed cutover plan that minimises downtime and ensures up-to-date data can be transferred to UniCore.

Some of the HR, Finance and Procurement processes that will be affected in different ways during the cutover period include:

  • Payments of student scholarships, bursary payments and stipends
  • Managing finance for Research projects
  • Raising a sales invoice, requesting and sending invoices to customers
  • Submitting and approving expense claims
  • Raising or approving a requisition
  • Purchasing items in SciQuest
  • Goods receipting
  • Processing invoices from suppliers, paying suppliers and recording payments
  • Adding new suppliers or updating supplier details in Agresso
  • Changes to staff contracts, new starters and leavers
  • Recording absences that are not annual leave
  • Department and cost centre changes (note that these cannot be put into Resourcelink/Agresso between 29 February 2024 and 1 June 2024)
  • Viewing payslips, submitting timesheets and additional hours/overtime
  • Nottingham Reward Scheme

The ‘Preparing for UniCore’ webpage provides an understanding of the processes that will be affected during the cutover period, how processes will be impacted and the likely durations. Please take the time to review this webpage and save it to your browser favourites – specific dates and further details will be added to it in January 2024.

Planning should be undertaken in your areas as soon as possible, so that relevant requests are made to HR, Finance and Procurement teams in advance of the cutover period. This will help to ensure impacts to your school, faculty or department are minimised during this time.

We recognise that some members of staff spend a significant proportion of their time using systems which will be unavailable during the cutover. Managers should make local arrangements to agree with staff how time over that period should be utilised to support an optimised transition to UniCore.

Sustainability ranking places UoN among world’s greenest universities

The University of Nottingham’s commitment to sustainability has been recognised by an international league table, which has ranked it among the top 40 of the world’s ‘greenest’ universities.

Nottingham jumped a remarkable 85 places in the QS World University Rankings: Sustainability 2024 up to 33rd out of 1,403 global institutions. The university is placed 17th out of 493 European universities and 12th in the UK.

The rankings highlight the ways in which universities are taking action to tackle the world’s greatest environmental, social and governance (ESG) issues.

Through research, teaching, strong governance and community engagement, universities have the expertise and opportunity to drive sustainable development forward to tackle the planet’s most pressing problems and ensure that generations of students are educated in the importance of the topic.

Professor Robert Mokaya, Pro-Vice-Chancellor and Chair of the university’s Environmental Sustainability Committee, said: “I am very pleased that our work and efforts at being an environmentally sustainable university are being recognised with these significant achievements.

“Our environmental sustainability ambitions require a collective approach that cuts through research, teaching and the way we choose to operate across many activities.

“I am aware that many within the university community have made contributions to improving our sustainability in their own ways.

“I applaud them and hope that our collective efforts, along with specific projects and initiatives guided by our Environmental Sustainability Strategic Delivery Plan, will go even further and meet greater success in the coming years.”

The ranking comes on the same day that Nottingham was confirmed in 7th place by the UI Green Metrics, a ranking on green campus and environmental sustainability initiated by Universitas Indonesia, which judges universities on their environmental commitment and initiatives.

It also follows the university’s strong performance in the 2023 Green Gown awards last week, where it was highly commended in the Money for Good category for its approach to ethical and sustainable investments and a finalist in the Student Engagement category for its collaboration between its Grounds Team and Student Conservation Society on a programme of weekly sessions and projects to protect and nurture nature and promote conservation on its campuses.

Andy Nolan, Director of Sustainability at the University of Nottingham, said: “Being placed so highly in the QS World University Rankings is recognition for the breadth and depth of the university’s commitment to the sustainable development goals in its teaching, research and how we operate.

Alongside the 7th place in the UI Green Metric and our success at last week’s Green Gown Awards it shows the university is delivering on the commitments we’ve made in our strategy.”

Through its Environmental Sustainability Delivery Plan, the university has pledged to put sustainability at the heart of everything it does – through its research, teaching, campus activity, investments and work with partners.

It recently set out its commitment to making an outstanding contribution to the 17 United Nations Sustainable Development Goals (SDGs) to address the complex challenges facing our planet and to secure a safer, fairer and more sustainable future.

In particular, the university’s research deliver solutions to complex problems and work with partners in the UK and across the word to ensure its innovations have transformative impact on people’s lives.

As part of the university’s ambitious, science-based carbon reduction target to reach net zero by 2040, it has recently received a multi-million pound injection to establish a new zero carbon innovation centre, primarily based on its Jubilee Campus.

As part of a collaboration with Loughborough University, the centre will consolidate the East Midlands’ position as a world leader in the development and deployment of innovation in green industries, attracting international investment and providing support for global businesses.

The venture has been funded with more £5 million from East Midlands Freeport, match-funded by the University of Nottingham and Loughborough University.

It forms part of the university’s ambitions to build a globally-significant Zero Carbon Cluster in the East Midlands.

By bringing together researchers from a variety of disciplines with a wide range of cross-sector partners, the cluster aims to attract and support top global firms, cultivate local innovation, train people in the skills needed for the net zero transition, and serve as a global model for a flourishing zero carbon economy.

Planned downtime of Campus Solutions – upgrade and UniDocs

The Education Administration Continuous Improvement Team (EACIT) would like to remind you about two new updates coming to Campus Solutions (NottinghamHub).

Upgrade to Classic Plus

Campus Solutions will undergo an update, providing a modernised appearance and upgrades to the system. While you will notice visual differences, the core functionality remains unaltered for most users. More information and release notes will be provided within Campus Solutions on your home page when the update is complete.

UniDocs replacement of eDocs

We’re pleased to introduce UniDocs, the new document management system replacing eDocs. Utilising cloud technology, UniDocs offers improved performance and enhancing student and applicant experience by supporting uploads from their mobile devices.

Campus Solutions will be unavailable for the duration of this upgrade

Campus Solutions (NottinghamHub) and any related system, including Oracle Data Store (ODS), Oracle Business Intelligence (OBI) and PeopleSoft Customer Relationship management (CRM) will not be available during the update on the times listed below.

UK time 6pm Friday 8 December to 12 noon Sunday 10 December
China/Malaysia time 2am Saturday 9 December to 8pm Sunday 10 December

Please ensure that you complete any work that you need to do in Campus Solutions before the times specified.

Systems that receive data from Campus Solutions will stop receiving updates from 3pm Friday 8 December – the data will be updated in these systems by 9am Tuesday 12 December 2023.

University of Nottingham Online – SEO masterclass series

The University of Nottingham Online is thrilled to announce that course registration for the Search Engine Optimisation (SEO) Masterclass series, starting in 2024, is now open.

The University of Nottingham Online have launched an exciting partnership with Hallam, a local company based in Nottingham and one of the UK’s leading digital marketing agencies, giving you the opportunity to learn Search Engine Optimisation and take your digital marketing career to a new level.

SEO is a set of processes aimed at improving a website’s visibility in search engines, like Google, with the goal of getting more organic traffic and for your website to rank higher in search engine results pages.

Learners will be taught by practitioner experts at Hallam with a track record of delivering client satisfaction and impact in SEO.

Honorary degrees – call for nominations open on Thursday 7 December

Each year, the university awards a small number of honorary degrees to people who have made an outstanding contribution in their chosen field.

Nominations for honorary degrees will open on Thursday 7 December 2023 for possible recipients of awards at future degree congregations in Nottingham, Malaysia and China.

Staff and students at the university are invited to put forward their suggestions.

The award of an honorary degree is a significant marker of prestige at the university and the process of selection is therefore taken extremely seriously.

Faculties have been invited to give more input into the consideration of nominations. Colleagues based in Faculties have two options; they can submit their nominations either direct to their Faculty or directly to the Governance Team.

Faculty-based colleagues will be contacted directly by their Faculty to invite nominations.

Professional services and other colleagues based outside Faculties are invited to submit their nominations direct to the Governance Team.

We would expect our university values to be reflected in those we recognise with the award of honorary degrees and we very much want to receive nominations which enable us to achieve better representation from under-represented groups

The call for nominations will open on Thursday 7 December 2023 and the deadline for nominations is Thursday 18 January 2024.

Colleagues are reminded that each stage of the process is confidential and we ask you not to contact the nominee at any stage.

The nominee should be unaware of the proposal. The Governance Team will manage initial communication with successful nominees.

The environment and me: take part in sustainability survey

The Sustainability Team at the university have created a short, multiple-choice survey for our staff.

We’re looking to create an eLearning module to give our university staff the opportunity to learn about the environment, how our actions impact it and how we can tackle climate change together.

We want to make sure we’re creating something which our staff will find useful and accessible, so we want to hear from our staff directly.

We invite you to help us design an impactful training package which will enable us all be more confident in knowledge of the environment and how we can all better protect it for the future.

We want to hear from staff right across our university in all job roles.

As an incentive to take part, we’re giving away a £25 voucher to EcoVibe.

Nottingham’s entry for U21 Three Minute Thesis® competition: vote now

Diret Bitrus Tang’an, from the Faculty of Engineering took the top spot in this year’s Tri-Campus Three Minute Thesis Competition (3MT ®) with his presentation that explains how microwave heating can be used to help clean petroleum contamination from the Niger delta.

Diret is currently representing the university in the global online Universitas 21 3MT ® competition and has been given a global platform for his research through the People’s Choice Award.

This year’s seasonal e-cards are now available for staff to send to colleagues, associates and partner organisations.

By sending an e-card you will be contributing to the university’s sustainability goal and supporting our commitment to being a leading green university.

You may also wish to make a donation to breast cancer research or a charity of your choice in lieu of the money you would have spent on cards.

This year we have created two designs – please visit the downloads page to choose your preferred design and for full instructions on how to send.
