Find safe spaces to work, study and socialise on campus

Check how busy our teaching, study or social spaces are before you leave home and while moving around campus with our new online service.

The findspace.nottingham.ac.uk webpage shows how busy an individual room or space is across our UK campuses, helping you to stay socially distanced while working, studying and socialising.

Search more than 200 spaces, including teaching rooms and cafes, and check how busy they are to help plan your movements around campus.

Each space is continuously monitored and then rated according to the maximum safe capacity for that space, with social distancing regulations in place.

Spaces will have one of the following ratings:

  • Green – the space has lots of availability
  • Amber – there is some space, but it is filling up quickly
  • Red – the space is full, come back later or make other arrangements

Access the resource at findspace.nottingham.ac.uk, or via the MyNottingham app.

Use the search field to find the space you are looking for, or do a broader search for a campus or keyword (eg, cafe) to see a range of options.

We are currently monitoring the most popular spaces. We are continually reviewing occupancy data and will add more spaces as particularly busy areas are identified.

Resuming operations guidance: templates and FAQs

An essential guide to key policies and processes, introduced in response to the Coronavirus pandemic, is available for faculties and departments to share.

The two page document is a quick reference guide to the latest information on; working from home, returning to campus, working or teaching on campus, along with useful reference information relating to parking, catering and shared kitchens.

There is a template for Faculties and a template for Professional Services on the Recovery Sharepoint pages to tailor, download and share.

This sits alongside a Recovery FAQ document which has been put together following a number of staff briefing sessions and UEB return to campus roadshows. It aims to assist in answering a wide range of issues and concerns.

University of Nottingham Ningbo China receives award for COVID-19 response

The University of Nottingham Ningbo China (UNNC) has been recognised for its response to the COVID-19 pandemic with an award from the European Chamber of Commerce in China.

UNNC was presented with the COVID-19 Crisis Response award at the 2020 Sustainable Business Awards ceremony held in Shanghai on Thursday 17 September 2020.

Having been assessed by eleven judges who were experts in sustainability, UNNC stood out for its overall strategic planning and pioneering role in maintaining academic standards along with the student experience in response to the pandemic.

Tom Murphy, UNNC’s Chief Financial and Planning Officer received the award at the ceremony on behalf of the University. In his speech, Thomas said that it was the University’s firm decision to continue teaching and research in the turbulent times while doing everything possible to ensure the safety of students and staff as the highest priority.

He said, “A key element of our COVID-19 recovery strategy was to reopen our campus such that our students can complete their degrees and go out to the world of business or further study.”

UNNC initiated a series of measures to respond to the COVID-19 challenges. The working group which was established in January 2020 immediately initiated the University’s emergency response procedures and established a closed campus routine. In mid-February 2020, UNNC’s senior leaders agreed on a COVID-19 recovery strategy which involved initially moving to online teaching followed by face to face teaching as soon as agreement was obtained from the local authorities to do so.

On 2 March 2020, UNNC launched its teaching programme online which involved implementing a number of alternative software applications, upgrading the IT infrastructure and moving all of the teaching modules online.

Local authority approval to re-open the campus was received mid-April 2020 and the University opened its gates to students at the end of April such that in-person teaching could resume. UNNC became the first Sino-foreign University in China to resume face-to-face teaching with over 75% of the academic staff being in Ningbo prior to the border restrictions being implemented, along with 85% of students choosing to return. A blended format of online and offline teaching was adopted to ensure the consistent learning outcome of those who were unable to return.

The University of Nottingham has also undertaken COVID-19 related research through their partnerships in China, especially Ningbo. Research with Ningbo No 1 and No 2 hospitals on epidemiology and drugs related to COVID-19 have already been published, with a number of other research collaborations ongoing.

At the end of his speech, Tom commented that it takes global solidary to win the war against the pandemic. “We only succeeded with our strategy because we collaborated on a global basis.” He said, “The world is a better place when we come together and fight against this global common problem.”

The 2020 Sustainable Business Awards Ceremony, organised by the European Union Chamber of Commerce in China, celebrates companies and organisations who put sustainable economic growth, environmental care and social welfare at the forefront of their values. The award categories follow United Nations Sustainable Development Goals in its China operations, including Advocate in Combating Poverty, COVID-19 Crisis Response, Navigating Diversity and Inclusion, Outstanding Environmental and Climate Performance, and Social Innovation Pioneer.

The NHS COVID-19 contact-tracing app – what you need to know

The University is making preparations to support the NHS COVID-19 contact-tracing app in preparation for its launch later this week.

The app will go live nationally on Thursday 24 September and will use Bluetooth technology to track time and distance between smartphone devices. It also offers a QR code check-in capability, allows users to book a free test and has an isolation countdown timer to remind people to quarantine.

It will replace current paper contact tracing systems seen in pubs, restaurants and hairdressers.

To support its use the University will display QR codes in buildings and temporary structure across campus, and at every café and catering outlet and free study space, including those within buildings.

Once they download the app staff, students and visitors will be able to check in by scanning the codes as they move across the University. You will not need to scan to say you have exited a location. Once a QR code is scanned information will remain on a user’s phone for 21 days.

If an outbreak is identified the location ID will be sent to all devices that have the app downloaded. It will then check if users have visited that venue and, if they have, provide an alert with advice on what to do.

This information is not shared with the University who will continue to support contact tracing by also running our own WIFI tracing programme.

Use of the app is voluntary but encouraged to help the national fight in preventing the spread of the virus and ensure that our campuses are as safe as possible.

The Hidden Disabilities Sunflower lanyard scheme

The University of Nottingham is committed to Equality, Diversity and Inclusion and has made a pledge to ensure all students and staff feel safe and supported at all times. As part of this commitment, we are supporting the Hidden Disabilities Sunflower lanyard scheme.

The scheme originally launched in 2016 and has quickly grown into the most widely known hidden disabilities schemes in the UK.

The idea behind the sunflower lanyard is that it is a sign that can easily be recognised from a distance but also discreet enough for people with a hidden disability to feel comfortable to use it. Not everyone with a hidden disability requires assistance but for those that do the sunflower lanyard discretely indicates that a person may need additional support, understanding or simply more time. It may be also worn by those who are exempt from wearing a face covering. Please bear in mind, however, that not everyone who identifies as having a disability will choose to wear a sunflower lanyard and some students may show an electronic ‘Access Pass’ to indicate they need additional support.

The Disabled Students’ Network also highlighted the sunflower lanyard scheme in their ‘Stronger Together’ video produced by the University and the Students’ Union.

The University is able to provide staff and students with a lanyard if needed. Lanyards are available from the Trent Building reception and Cherry Tree Lodge.

Pharmacy Patient Cafe – get involved

The School of Pharmacy are looking for volunteers with a long term health condition to take part in the Patient Café.

The aim is to improve person-centred care by giving pharmacy students counselling practice and opportunities to interact with patients.

Sessions are student-led but supported by a dedicated team of academic and support staff. Participants would need to be willing to speak to a small group of students about their medication, how the condition affects day-to-day life and experiences of healthcare. The only requirement is that those who take part either currently have or previously had a health condition.

 

Participants will be joined by a maximum of 4 students who will conduct a 20-30 minute interview. These sessions will take place online via Microsoft Teams before transitioning to face-to-face sessions at some point in the future.

Study spaces across our campuses

With social distancing requirements in effect on campus, study spaces for students will be a little more limited this year. Thelp counteract thisthe University is creating some new spaces.  

In addition, we will be encouraging students to make use of all available study spaces across our campuses. This may mean working from cafes, social spaces, atriums and residential spaces; students will not always be able to find study spaces close to their school/department. 

We are also encouraging students to bring their personal devices onto campus with them (including laptops and tablets) in order to study between timetabled teaching and reduce reliance upon computer rooms. 

The new study spaces will be clearly marked with ‘Study Here’ signs, which will help students identify appropriate spaces to study in. Staff are also asked to make a note of these locations and support students by directing them to the study spaces 

Study spaces will be set out at 1m+ following the University Guidance. This includes the requirement to wear a suitable face covering in these spaces in line with the University Face Coverings Policy.  

The following information provides more detail about new and existing study spaces. We will issue further communications as new study spaces are added. 

Existing study spaces 

Libraries 

 The capacity of our libraries has been reduced to comply with 1m+ social distancing regulations. Limited numbers of socially distant study space for individual, silent study will be available in most of our libraries. Study spaces need to be booked online in advance. Bookings for Hallward and James Cameron-Gifford libraries will go live on Friday 18 September. Study space can be booked for up to three hours with a limit of two bookings per week, per person.   

Computer rooms in libraries will not be open initially – they will only reopen once all library buildings have successfully opened. Students will be expected to wash their hands regularly and wipe down equipment before and after use.  

Computer rooms  

There will be fewer computer rooms this year; we have reconfigured 12 of our 46 computer rooms as standard teaching spaces to ensure we have enough space to deliver the timetable 

Remaining computer rooms will be available for individual study outside of timetabled sessions, but with teaching timetables extended to account for social distancing, the availability of these spaces will be limited. Please note that not all computer rooms will be available immediately. We will be opening these on a phased schedule to ensure they meet University Covid-Secure standards, including social distancing guidelines, and will communicate the schedule as it is confirmed.  

Students will be expected to clean their workstations (desks, keyboards, mice, etc) before and after use to reduce the risk of spreading infection. 

Cleaning is a key COVID-19 control and everyone in our community is being asked to do their part. Cleaning materials in the form of wipes or spray and cloths are located at key points throughout the buildings and are provided for users to clean shared equipment and devices, including computer stations and desks. Everyone is asked to clean workstations, shared equipment and devices before and after use. 

Additional study spaces 

The Recovery Board agreed to convert underutilised spaces into student study spaces. This includes offices that are not currently being used as a result of staff with alternative working arrangements. The following spaces are currently being set up for the start of teaching. 

Hemsley Staff Club, restaurant area 

The ground floor restaurant is closed and we are making approximately 30 study spaces available. We’ll closely monitor usage and are reviewing the café which could potentially be made available to provide additional services.  

Pope Building, A02/A08  

The ground floor space in Pope Building offers capacity for 20+ student study spacesThe space was previously occupied by the Campaign and Alumni Relations Office (CARO); alternative arrangements will be made for CARO staff.  

The Barn, Sutton Bonington 

The existing refectory area on B Floor can be used for study with social distancing measures in place. 

These additional study spaces will be for the use of all students. In addition, students will be encouraged to make use of all available spaces across our campuses, including cafes, atriums and informal spaces in schools and departments. We will provide further communications of any further study spaces that are made available.

Library re-opening schedule – update

September 17th, 2020

Hallward and James Cameron-Gifford libraries are scheduled to offer expanded services from Monday 21 September.

The overall capacity of libraries has been reduced to allow for social distancing. Library staff will manage the capacity of the building at the entrance and will ask staff and students to wait if the library is full.

Hallward and James Cameron-Gifford libraries will offer the following from Monday 21 September:

  • Individual, silent study spaces – spaces must be booked in advance using the booking system that will go live on Friday 18 September
  • Short stay visits (up to 30 minutes) – for printing, browsing, borrowing and click and collect

There will be separate queues for each of these services and staff will be available to direct you to the correct queue.

Future service updates

The Djanogly Learning Resource Centre currently offers study space on a first-come, first-served basis. From Monday 28 September, this study space must also be booked in advance using the booking website.

It is expected that study spaces and short stay visits will be offered in Greenfield Medical library and George Green library from Monday 28 September, however this is dependent on health and safety checks.

Services for Business and Music libraries will be confirmed soon.

Update to promotions and regrading

Further to their message of Thursday 30 July, Deputy Vice-Chancellor Professor Andy Long and Director of HR Jaspal Kaur write about the latest arrangements for promotions and regrading for the 2020/21 academic year.

Academic Promotions

I am pleased to confirm that the promotions round for 2020/21 will take place in early 2021. Communication to staff will be sent in February 2021 with confirmation of all key dates for the revised timescales:

Level 7 applications
• Closing date for Level 7 applications: 4.00 pm on Wednesday 21 April 2021
• Level 7 Promotion Committee 1st meeting: Wednesday 9 June 2021
• Level 7 Promotion Committee 2nd meeting: Wednesday 29 September 2021
• Promotions awarded will take effect from January 2022

Levels 4, 5 and 6 applications
• Closing date for Levels 4, 5 and 6 applications: 4.00 pm Wednesday 23 June 2021
• Level 6 Promotion Committee: Wednesday 22 September 2021
• Levels 4 and 5 Promotions Committees – will take place in September 2021 (exact date to be arranged by Faculty)
• Promotions awarded will take effect from January 2022

This delay has been agreed by UEB after consultation with stakeholders, taking into account the disproportionate impact of Covid-19 on staff, and the value of allowing additional time for staff to prepare promotions applications. The promotions pro-forma will also provide an opportunity for all staff to detail the impact of Covid-19 on the evidence that they are able to use to demonstrate how they have met the promotions criteria.

Further information will be provided on timescales for Faculty/School processes in due course.

Re-grading
Re-grading applications will be able to be considered from February 2021 onwards. The schedule for the year will be:
