Coaching opportunity — call for coachees

Being coached is a great way to develop yourself, and if you have a genuine coaching requirement there is always an opportunity to be matched with one of the Leadership and Management Academy’s (LMA) internal coaches.

All internal coaches are qualified to at least Level 5 standard, and are happy to work with you to support your coaching needs. Examples of what you might work with them on include:

  • Performance, change, self-confidence, self-image, leadership skills, work-life balance… or perhaps as a critical friend or networker, or for teaching and learning or research support
  • Career development and planning, promotion skills, future skills enhancement

If you are interested in this opportunity provided through the LMA, please complete the request a coach form. A search for a coaching match can then begin.

University Park essential network maintenance

April 4th, 2018

Information Services will be undertaking essential maintenance to the University Park campus network between Wednesday 4 April and Saturday 21 April.

This is part of a significant upgrade programme that will ensure equipment supporting the University network is robust and maintained.

The work will result in intermittent access to network services and university systems in buildings while essential upgrades are made. Multiple buildings on University Park will be affected.

Please view the full schedule of network maintenance online – this schedule is subject to change.

User action: If you experience any disruption to services, please wait 5 minutes and refresh the service. Please ensure you save any documents you are working on, frequently, during the maintenance schedule.

Currently there are a number of University Park buildings where wired network will be unaffected. You can view this list here (Office 365 sign in required).

New Director of Estates

April 4th, 2018

A new Director of Estates & Facilities, Linda Goodacre, has been appointed to the University and will take up her role on Monday 16 April 2018.

Linda’s career in estates and facilities management spans some 28 years with senior roles including Boots, Wm Morrison and telecommunications company EE.

Reporting to Chief Financial Officer Margaret Monckton, the role will have leadership responsibilities for the integrated Estates and Hospitality Departments.

Confirming Linda’s appointment, Chief Financial Officer Margaret Monckton said: “I am delighted that Linda will be joining us at Nottingham to provide the highest quality environment for our staff and students in which to conduct their research, teaching and learning.”

Linda Goodacre said: “I am really excited about joining the University. It is a great opportunity to lead this really important team who look after such great buildings and facilities.”

The University’s current Director of Estates, Chris Jagger retires in May.

Spring Semester examination timetable available

The Spring Semester examination timetable has been published and is now available for students to view.

Students can view their timetable by:

  • Visiting the website
  • Logging into the Portal, navigating to the ‘Courses’ tab and clicking ‘View Timetable’
  • Accessing the ‘Timetable’ tile on the MyNottingham app

The exams timetable is currently available with time slots only. Locations and seat numbers will be published on Wednesday 2 May.

As recently confirmed, teaching Week 12 — used as a revision week by some Schools — will commence on Monday 14 May 2018, and the exam period will commence on Monday 21 May 2018 as originally intended.

In December 2017 the University agreed to scope the potential to bring exams forward by a few days. However, reflecting further feedback from students and staff, there is no wish to clash with activities scheduled in the Week 12 revision week. The issue of creating more marking time will be investigated in the exam periods for 2018/19.

People Strategy Committee

The People Strategy Committee is a new senior forum dedicated to the University’s most important asset — the staff who deliver our research, teaching and professional services.

Chaired by Council member Lynette Eastman, its membership includes the Vice Chancellor, Council members, external representatives and senior representatives from our academic and professional services colleagues.

Meeting quarterly, the Committee reviews strategy, advises on approaches and drives delivery on initiatives to improve conditions, ways of working and methods of engagement.

At its meeting in February, the Committee focused on three key areas:

Our People Priorities: responding to the Staff Engagement Survey, and considering our strategic aims as a University, the Committee agreed that the key priorities for our people should be:

  • improving equality and diversity in all our staff communities;
  • providing the conditions to nurture our people’s talent;
  • delivering effective and fair reward and recognition;
  • enhancing leadership skills and their application;
  • navigating the implications of Brexit;
  • supporting our staff culture and wellbeing;
  • reforming HR systems; and
  • introducing a new approach to staff engagement.

Performance Management: the PDPR process is undergoing review, in particular looking at the staff feedback on some of its key challenges – an ineffective ratings system, the link to reward and the lack of focus on behaviours.

The Committee discussed the PDPR challenges at the University and reviewed a range of performance review approaches, aiming to encourage bold changes and be a sector leader in performance management.

  • The Committee tasked the Director of Human Resources to explore the following areas as part of the PDPR review:
  • evaluate how performance reviewers are selected and trained to ensure they have the skills to lead constructive conversations;
  • examine if there is a need for ratings as well as the current link between PDPR and reward;consider how to introduce reward and recognition for teams, given that so many of our academic achievements are the work of teams;
  • consider timescales to better reward high performers, recognise good achievers and support promotion.

The Committee suggested that certain changes could be tested through a piloted approach; and underlined the importance of engaging staff to fully understand what they seek in a new PDPR system.

Gender Pay: the Committee noted that the University’s statutory report on its gender pay gap would be published in March. While there is not an issue of equal pay by gender, there is a considerable gender pay gap caused largely by demographic factors over many years. A series of initiatives will be introduced to close the gap principally by recruiting more women into senior grades and more men into junior roles which would achieve better diversity at all levels.

The Committee will meet again on 25 April 2018.

The General Data Protection Regulation — all staff briefing

The General Data Protection Regulation (GDPR) becomes law on 25 May 2018, replacing the existing Data Protection Act.

GDPR is going to affect every part of the University. Everyone has a responsibility to determine how they will be affected by GDPR and the steps they need to take to ensure the University’s compliance.

For a quick guide, take a look at the ‘Getting Ready for the General Data Protection Regulation (GDPR)’ Information sheet.

As part of our compliance effort, we have prepared a GDPR podcast briefing, which is mandatory for all staff to watch. This podcast outlines everyone’s responsibilities with respect to looking after personal data. It is also mandatory under GDPR that organisations engage in training and awareness-raising of data protection among their staff. The link will take you to a log-in screen hosted by our external processor, to generate a record that you have successfully received and accessed the link. Your email address and work area will be logged in order for the University to comply with its legal obligation to make staff aware of GDPR. Reports from this log, in order to monitor who has watched the podcast, will be accessible to senior line managers in order for them to ensure that all staff have accessed it.

Face-to-face training is also available: ‘An Introduction to GDPR’ training sessions are available now through Central Short Courses.

Are you responsible for an externally-facing website at the University?

IT Support representatives will be in touch with all site administrators over the coming weeks to gather information about their sites, how they are used and potential audiences.

This is part of a bigger of programme of work focusing on the University’s cyber security, aimed at reducing the threat posed by any site that can be accessed over the internet. (Please note, we are not interested in sites that are hosted on the CMS.)

Non-CMS externally-facing websites will have the URL format <anything>.nottingham.ac.uk – where <anything> is not the www. prefix. We are not assessing CMS sites, which will have the format www.nottingham.ac.uk<anything>.

Where an owner is not known, it may become necessary to temporarily suspend the site until the owner is assigned and appropriate action taken. Please help the IT reps by providing all the information they need by Friday 20 April at the latest.
