Monday 19 July – lifting Covid restrictions

The Department for Education has now published its guidance for universities following the government announcement on the lifting of Covid restrictions from Monday 19 July. We have carefully considered this, alongside the risk assessments and safety measures we have introduced during the past 15 months, to ensure that our campuses continue to be as safe as possible for everyone.

Actions we are taking in response to the Department for Education’s guidance can be found below. Specific information for students can be found on the Coronavirus webpages.

Please be respectful and considerate of both our University and city communities, understanding some people will feel more comfortable with the lifting of restrictions than others and that health vulnerabilities remain.

This update includes information on:

Vaccines

The university actively supports the roll out of the vaccine and is encouraging all those who can to take up the offer of the vaccine. Two doses are needed to ensure the vaccine is most effective, but they don’t have to be taken in the same location.

From Monday 16 August those who are fully vaccinated will not have to isolate if they are a contact of someone who tests positive for Covid-19- see information below on testing and isolation.

Resources are available for staff to help share the message to students to encourage them to arrive in Nottingham fully vaccinated – as at July, more than 60% of our students have received at least one dose. You can find out more about the resources and other FAQs.

Test, trace and isolation

All staff and students spending any time on campus will be required to continue taking asymptomatic testing at least once a week which can be performed quickly and easily through the Asymptomatic Testing Service. Those who experience Covid symptoms should isolate immediately, notify the university and book an NHS confirmatory swab test.

The Government has now confirmed that from Monday 16 August contacts of those who test positive no longer need to isolate if they have had both doses of the Covid vaccination or are under 18, unless told otherwise by NHS ‘Track and Trace’ or if they begin to experience symptoms themselves. Contacts should begin daily testing supported by the Asymptomatic Testing Service to ensure they are not at risk of transmitting the virus.

If you are not fully vaccinated and are identified as a close contact of a positive case, you will need to isolate in accordance with government guidelines. More details on support during your isolation can be found on our Coronavirus webpages.

Social distancing

In line with government guidelines social distancing measures are no longer mandatory, however, please be respectful and considerate of everyone in our university and the communities in which we live. Please continue to follow good hand hygiene measures and give people space where it is sensible or requested – be mindful at all times that some people will feel more comfortable with the lifting of restrictions than others, and health vulnerabilities remain. Campus signage on social distancing and one-way systems will begin to be replaced with safety messaging over the summer.

Face coverings

Whilst government guidelines mean that the wearing of face coverings is no longer mandatory, the government expects and recommends that you wear face coverings in crowded and enclosed spaces. This helps you to reduce your risk to others and helps others to reduce their risk to you. Face coverings may be reintroduced should there be local outbreaks or a rise in cases.

Covid-19 personal safety measures

Please continue to observe rigorous hygiene practices, particularly regular handwashing.

Working from home

The government instruction to work from home where possible is now lifted and colleagues may begin a phased return to working on campus from Monday 19 July. Hybrid working should be explored for all staff in roles where it is not essential to be on campus all the time. This enables and supports colleagues in spending part of their working time working remotely and part of their time on campus. Managers should help staff prepare for return, complete the appropriate online training, and understand what will be expected of them.

Teaching and learning

Wherever possible classes, seminars, labs and tutorials will be delivered in-person from the start of the academic year, however, in line with most universities, large-scale teaching will continue through a blended approach in Semester 1. Our intention is to resume in-person in Semester 2, subject to the course of the pandemic. This is in part due to the complexities of timetabling more than 100,000 teaching sessions, but also offers contingency in the event of autumn outbreaks. Local Directors of Public Health have powers to reimpose social distancing requirements in the event of outbreaks – by being cautious now, we can be more flexible later.

There will be an extended two-week welcome period to help re-acclimatise students to living and studying on campus.

University research facilities

The increase in research activities made possible in facilities by the lifting of restrictions will be re-planned and will therefore change will be gradual and carefully planned. We encourage wearing of face coverings where there are several people working closely together in laboratories and other research facilities.

Sport and social events

There are no Covid-19 restrictions on the numbers of people attending or participating in sporting or social events. Attendees should make an informed decision on risk and make a judgement on social distancing and wearing face coverings, mindful of the government’s expectation and recommendation that face coverings are worn in crowded and enclosed spaces.

Catering and bars

In line with government guidance, catering outlets, bars and restaurants on campus will open as usual with no requirements for table service.

Travel

The government has implemented its traffic light system for international travel, established by the Global Travel Taskforce, which sets out the measures applying to arrivals from Red, Amber and Green countries. Please be aware of the status of the country you intend to travel to or from before making your journey, so that you understand testing and quarantine requirements for your destination and return.

The University’s current Travel Policy remains in place for travel by staff and students travelling on University business. These will be adapted in response to changing travel guidance. Please continue to refer to documents on the Health and Safety Workspace for the most up to date information.

Health and safety

Do take time to review the latest documents and policies in the Health and Safety workspace pages. A revised master risk assessment has been created in light of changing restrictions. This can be found on the Health and Safety workspace pages.

A new way of working

The government’s lifting of national restrictions does not mean that the risks from Covid-19 have disappeared. It simply marks a new phase in the government’s response to the pandemic where the population is urged to manage risks to themselves and to others. The university has created a new policy which supports a new way of working during this period.

Our university values include inclusivity and respect. We have regard for each other’s rights and feelings, and demonstrate this in our behaviour, treating each other with kindness. As we begin this transition into a new phase of living with the pandemic please do remember and embody these values.

Make your account more secure with multi-factor authentication

Have you protected your university account? As part of an ongoing security project, we are working to improve our digital security and securing Microsoft 365 services is the next step.

As you may be aware, from previous communications, Digital and Technology Services, in partnership with the Chief Information Security Officer, are working to reduce the risk of cyber-attacks and hackers gaining access to systems, services and data (which is unfortunately an increasing risk within the university sector).

In response, we are extending the use of Multi-Factor Authentication (MFA) to more of our systems and services. As you may be aware, this provides an added layer of security, and is already used with Virtual Desktop, VPN and Remote Desktop services. MFA to secure the Microsoft 365 suite of applications is now available and this will ultimately apply to all users. As a priority, we are encouraging staff members to ‘Opt In’ to using MFA with Microsoft 365.

By opting in now you will be protecting your account and reducing the chances of someone else being able to use it to attack university systems and data.

Opt In now – the process is simple, all you need to do is:

1. Set up MFA if you haven’t already done so
2. Fill in the Opt In Form and submit

Update to our testing service locations and times

July 13th, 2021

As we approach the summer there have been some changes to our testing service locations and opening times. Please do be aware that the testing service is, by definition, for staff who do not exhibit Covid-19 symptoms. If you have symptoms, you must isolate and book an NHS test as soon as possible.

Visit our Staff testing webpage to familiarise yourself with the updated changes – in particular check the testing location you plan to use.

Anyone with any specific needs can get in touch with the testing team on testingservice@nottingham.ac.uk so we can facilitate these for you and enable you to take your Covid test at least once a week.

Return to campus – transport

As staff prepare for a fuller return to campus, localised flexibility in working patterns will continue to have an impact on the ways in which we all work and travel to our place of work. Below is an overview and update on many of the schemes that the university operates.

Public transport

The university in collaboration with a number of public transport operators across the city offer a number of travel pass schemes. These scheme offer staff the opportunity to purchase travel passes through salary deductions – there are a range of these available to support differing work patterns, many at discounted rates.

Car Parking

From Wednesday 1 September, parking charges will be re-introduced with the application window for applying for parking permits opening from today (Monday 12 July).

Recognising that colleagues will have differing campus return dates and to reflect more flexible patterns of working on-campus- and home-working, we are retaining the flexibility that we introduced last year in how you can pay to park on campus.

  • Full permits: full annual permits will still be available. Alternatively, staff or students will now be able to apply for a parking permit at any point in the year and only pay for the months remaining in the permit year. For example, if you apply in December you only pay 9 months of charges.
  • Occasional use vouchers: should you wish to use occasional use vouchers to park on campus for a few days each week, for example to accommodate flexible working or until public transport is fully restored, the cost of any unused vouchers will be refunded once you revert to your usual mode of transport. If you wish to upgrade to a full parking permit, the cost of it will be reduced to account for the amount you have already spent on vouchers. For any members of staff typically needing to park on campus for fewer than four days each week, the occasional use voucher scheme offers the more cost-effective solution. These can be ordered through the online permit system, by selecting ‘Occasional Driver’ under the Driver Scheme.

To underpin the sustainability commitments in the University Strategy and reduce the large loss that the university currently makes between parking charges, the cost of providing car parking and its commitments to Nottingham City Council’s Workplace Parking Levy (WPL), the cost of a parking permit will need to rise by 12.5% for 2021/22.

This works out as an annual increase from £69 to £78 for cars in the lowest emission and salary bracket and an annual increase from £774 to £871 in the highest bracket. The average cost of an annual parking permit is £270  – less than £1.18 per day based on 230 days use.

Over the next year as we better understand travel demand, patterns and car parking use we will be developing and consulting on a revised sustainable parking strategy and charging mechanism more aligned to the University Strategy.

Cycle to Work

Cycling to work offers a flexible, fit and sustainable way to travel between our campuses and elsewhere. The university offers a comprehensive Cycle to Work scheme accessible through the Employee Hub and has increased the value of the scheme to enable staff to purchase bicycles up to the value of £2,000.

Operated on a salary sacrifice basis, the scheme allows employees to hire a bike and equipment from the university for twelve months. After this period the employee may, at the university and scheme provider discretion, be offered options to extend the hire agreement or take ownership of the bike.

Hopper buses

The university has continued to run a number of hopper bus services over the last year to provide connectivity between campuses. Work is underway to design timetables for the start of next session in line with the latest guidance and we will continue to provide regular updates on services and timetables.

In the meantime anyone wanting to travel between University Park and King’s Meadow Campus can catch the Sutton Bonington service from East Drive on University park and get off at the Showcase Cinema ( LI01) stop a short walk from KMC and for travel in the opposite direction catch the Sutton Bonington Bus at the Showcase Cinema ( LI04) stop on the other side of Clifton Boulevard which can be accessed from the pedestrian bridge.

Sphere conference on Equality, Diversity & Inclusion: catch up now

On Tuesday 29 June, the university held its first ever Sphere conference on Equality, Diversity, and Inclusion (EDI).

The conference was aiming to bring the university community together to share best practice and research in the field of Equality, Diversity, and Inclusion (EDI) , along with celebrating funded Sphere projects from 2019/2020.

  • A panel discussion chaired by Sam Hawkins (SU Liberations Officer).   • A talk about EDI through a Technicians’ Lens by Kelly Vere MBE (Director of Technical Skills & Strategy) and Jodie Chatfield (Technical Services Manager)
  • A talk about EDI in the Digital World and Public Engagement by Professor Louise Mullany (English), Dr Jacqueline Cordell (English) and Dr Claire Burrage (Physics)
  • Information about projects funded by the SPHERE Programme Board

Nottingham Blood Donor Centre in need of donations

Your local Blood Donor Centre currently needs your support.

Nottingham Donor Centre on North Church Street are having some difficulties in maximising capacity, and are looking for blood donors.

During the summer months, donor attendance has been known to drop significantly.  This year, this has become even more apparent as Covid-19 restrictions begin to ease.

The NHS is restarting routine surgeries and procedures, meaning that as demand increases, we need to ensure supply does not drop below acceptable levels.

To put things into perspective, we need:

  • Nearly 400 new donors a day to meet demand
  • Around 135,000 new donors a year to replace those who can no longer donate
  • 40,000 more black donors to meet growing demand for better-matched blood
  •  30,000 new donors with priority blood types such as O negative every year
  • More young people to start giving blood so we can make sure we have enough blood in the future

It takes around 7-10 minutes to donate a unit of blood, with the whole appointment likely to be within an hour. In donating blood you can help to save and improve the lives of up to 3 adults or 6 children.

The Breakfast Club 2020/21 – sessions in July

Following positive feedback, the Breakfast Club is returning for the 2020-21 academic year.

Starting on Tuesday 13 July, the Breakfast Club will run on Tuesday, Wednesday and Thursday for the weeks commencing 12th and 19th of July, from 9am-10am BST.

Each session will feature two 20-minute papers, with opportunities for questions.

It is a relaxed and informal event – start your day (or end it, for Malaysia and China campus colleagues) by hearing about the fantastic ideas our colleagues from across the university have in the Teaching and Learning space.

Staff sports free ‘try before you buy’ offer

With more and more staff returning to campus and to support staff health and wellbeing, UoN Sport are offering a free one-day pass for staff to access the gym, swimming pool or a group exercise class so you can try out facilities and services available.

All University of Nottingham Sports facilities are operating in-line with the latest government guidelines and have a range of additional measures in place to ensure everyone can safely take part in sports and fitness activities.

New Visitor Policy launched

July 6th, 2021

A new visitor policy has been launched to provide guidance and support on the hosting of all kinds of visitors to the university.

The policy aims to provide clear guidance to ensure the safety and well-being of all visitors to the university, in addition to safeguarding the university and protecting its staff and student community by ensuring internal and government regulatory compliance.

The policy covers domestic and international visitors from a number of categories: academic, sponsored researcher, postgraduate student, traineeship/internship and virtual visitors.

The policy is hosted on Sharepoint along with guidance and standard operating procedures for hosting visits from initial contact through to follow up.

This includes a visit request form template which ensures key details required for insurance are captured, and signposting of relevant support and resources.

Nottingham Reward Scheme 20/21 now live for nominations

The Nottingham Reward Scheme is now live for 2020/21 nominations. All departments should submit their nominations by Wednesday 28 July.

Following its suspension earlier this year pending Covid-19 financial pressures, the scheme has been reopened with an increased rewards budget for 2020/21, doubling the amount available to recognise colleagues’ exceptional work during the pandemic. It also recognises the NRS freeze having been being imposed late during the 2019/2020 cycle.

Due to the short timescale for submitting nominations, peer-to-peer nominations have been suspended for this round. Managers will submit nominations for their staff according to local school, department or faculty processes. For more information on your local process, please contact your manager.

Successful nominations for rewards will be communicated to recipients in August, with payments made in September or October. Specific dates will be confirmed nearer the time.
