Campus Solutions — update on implementation

In the last update on the final stage of the implementation of Campus Solutions, we promised to share new implementation dates once the re-planning work had been completed. We can now confirm that we are planning to implement the remaining functionality from December 2018.

The student record element of the system will be operational from the end of December, with different staff groups gaining access to the system in the new year. Cutover — the period through which data is safely and securely migrated from legacy records systems into Campus Solutions — will begin in November.

The finance element of the system will go live at the start of the 2019/20 University financial year. Cutover for this will begin in April 2019.

The new schedule follows on from the postponed plan to implement these final elements of the system in the UK in August. The Project Transform Programme Board took this difficult decision to protect key activities around confirmation and clearing, registration and timetabling.

The Programme Board has agreed the schedule, and the project is now working on a detailed plan for implementation. This will be shared once it’s complete. This plan will include periods where some systems, such as Saturn or Moodle, will be unavailable or set as ‘read only’. We know that reduced functionality of these systems is disruptive, but we are working with Schools and Departments to identify timings that will have as little impact as possible on staff and students.

Campus Solutions user groups have been set up for each Faculty and for Professional Services. These groups will play a key part in determining how the new system will be implemented; commenting on demos; feeding back on suggested process changes; and helping to shape user profiles, along with the training and communications materials needed to embed the new systems and processes across the University.

Campus Solutions Implementation roadshows are also being planned to take place at the end of October. Dates and locations for these will be shared in the coming weeks. Like previous roadshows, these events will give colleagues the opportunity to see the new system. You will also have the opportunity to ask questions about the process of implementation.

We will share the key contacts for the Campus Solutions user groups over the coming weeks. Any urgent questions can be emailed to the project in the meantime.
